How does a PTA treasurer present two options?
A PTA treasurer has to bring an awards figure to the next meeting. She holds two written quotes for the same twenty-six-piece ceremony. One uses the Academic Achievement Trophy for every category. The other uses the Subject Excellence Acrylic Award for class awards and keeps the trophy for the two school-wide honors. For the first quote she types each line into the estimator as printed and gets one total. The second quote names two products at two unit costs. She works out the acrylic awards and the trophies in separate runs and adds the answers on paper. Parents at the meeting see two totals built the same way. - Give the trophy and the acrylic award a run each. Blending them into one average unit cost hides which product the PTA is mostly paying for.
- Leaving tax fields blank by habit
- Ask the school bookkeeper whether the purchase is taxed, then type the amount shown on the quote. No tax is calculated on your behalf.
- Mixing school and PTA money
- If the school pays for class awards and the PTA pays for the poster, run them separately so each group sees its own total.

Does the estimator include Honor Roll Awards prices?
No. Every number in it is typed by you, and it applies no quantity discount. For real figures, send us the school's classes, categories and wording and ask for pricing in writing. Those quoted amounts can then go into the estimator to compare designs or to show a committee how the total is built up.
How can a school work out the award cost per student?
Divide the planning total by how many students are recognized to see the cost of each award, or by total enrollment to see the share per child. The two answers serve different conversations. A PTA often wants the second, because its funds are raised from every family and not only from award winners.
